Booking Terms & Conditions

Last updated: October 2026

These Booking Terms & Conditions apply to wedding chauffeur services provided by Admired Wedding Cars. Please read them carefully before confirming your booking.

By confirming a booking with us and paying any requested booking payment, you agree to these Terms & Conditions.

For the purposes of these terms, “we”, “us” and “our” mean Admired Wedding Cars. “You”, “your” and “customer” mean the person making the booking.

1. Our Service

Admired Wedding Cars provides professional chauffeur-driven wedding transport primarily throughout Swindon, Wiltshire and surrounding areas.

Our service may include:

  • Collection of the bride, groom, wedding party or other nominated passengers

  • Transport to the wedding ceremony

  • Transport between ceremony and reception venues

  • Waiting time where agreed

  • Stops for wedding photography where agreed

  • Additional journeys specifically included within your quotation

Only journeys, waiting periods and services shown on your confirmed booking are included.

Any additional journeys or substantial changes requested after confirmation may result in an additional charge.

2. Vehicle

Unless otherwise stated in your booking confirmation, the vehicle booked will be our white Mercedes-Benz E250.

We take reasonable steps to ensure that the vehicle is clean, presentable, appropriately prepared and roadworthy for your wedding.

Decorations such as wedding ribbon may be provided where included within your booking.

Please tell us in advance if you have any specific requirements relating to wedding colours, ribbons, decorations or photography involving the vehicle.

3. Availability Enquiries

Submitting an enquiry through our website, checking a date using an availability form, speaking to us by telephone or receiving an indication that a date is currently available does not constitute a confirmed booking.

Availability can change until a booking has been formally accepted.

Your wedding date is only reserved when:

  1. we have received the information we require to provide the service;
  2. we have confirmed that we are able to accept the booking;
  3. you have accepted our quotation and booking details; and
  4. any required booking payment has been received.
  5. We will confirm your booking in writing.

4. Quotations

Quotations are based on the information available to us at the time, including:

  • Wedding date

  • Collection address

  • Ceremony location

  • Reception location

  • Requested timings

  • Number of journeys

  • Waiting requirements

  • Additional stops

  • Estimated mileage

Unless specifically stated otherwise, a quotation does not reserve the vehicle or wedding date.

If the information supplied to us changes significantly, we reserve the right to revise the quotation before the booking is confirmed.

Once the booking is confirmed, the agreed price will not normally change unless you subsequently request a change to the service.

5. Booking Payment and Balance

A booking payment of [INSERT AMOUNT OR PERCENTAGE] is required to secure the date.

The remaining balance must be paid no later than [INSERT NUMBER] days before the wedding date, unless we agree otherwise in writing.

Your booking confirmation will show:

  • The total agreed price

  • Payments received

  • Any outstanding balance

  • The date by which the balance must be paid

If payment is not received by the agreed deadline, we will contact you before taking any action regarding your booking.

6. Information You Provide

You are responsible for providing accurate information about your wedding and journey.

This includes:

  • Names and contact details

  • Collection addresses

  • Venue addresses

  • Ceremony time

  • Required collection time

  • Reception details

  • Any additional stops

  • Number of passengers

  • Relevant accessibility requirements

  • Any unusual access, parking or venue restrictions

Please check your booking confirmation carefully and tell us as soon as possible if anything is incorrect.

We cannot accept responsibility for problems caused by materially incorrect or incomplete information provided to us.

7. Changes to Your Booking

We understand that wedding arrangements can change.

Please contact us as soon as possible if you need to amend your:

  • Collection address

  • Ceremony venue

  • Reception venue

  • Wedding time

  • Passenger arrangements

  • Route

  • Photography stops

  • Other journey details

Minor changes will normally be accommodated wherever reasonably possible.

Significant changes involving additional mileage, waiting time, journeys or travelling time may result in an additional charge. We will explain any additional charge before accepting the change.

Changes are subject to vehicle and chauffeur availability.

8. Changing Your Wedding Date

If your wedding date changes, please contact us as soon as possible.

Where the vehicle and chauffeur are available on the new date, we will make reasonable efforts to transfer your booking.

Any change in price caused by a substantial change in location, mileage, timings or other requirements will be discussed with you before the revised booking is confirmed.

If we are unable to accommodate the new date, the change will normally be treated as a cancellation. Any amount retained or cancellation charge applied will be determined in accordance with the cancellation provisions below.

9. Cancellation by You

We understand that circumstances can change and weddings sometimes have to be cancelled.

If you wish to cancel your booking, please notify us in writing as soon as possible.

Any cancellation charge will be reasonable and proportionate to the circumstances of the cancellation. In determining the amount, we may take into account:

  • How much notice has been provided

  • Work already carried out in connection with the booking

  • Costs already incurred

  • Whether those costs can be recovered

  • Whether we are reasonably able to accept another booking for the date

  • Other losses directly resulting from the cancellation

  • Costs that we save because the booking will no longer take place

We will not seek to recover more than our reasonable loss resulting from the cancellation.

Where appropriate, any refundable balance will be returned to you using the original payment method or another method agreed with you.

Nothing in these terms affects your statutory consumer rights.

10. Cancellation by Admired Wedding Cars

It would be highly unusual for us to cancel a confirmed booking.

If circumstances within our reasonable control mean that we are unable to provide the confirmed service, we will contact you as quickly as reasonably possible.

Where appropriate, we may discuss reasonable alternative arrangements with you.

If we cancel the service and cannot provide an agreed alternative, any money you have paid to us for the affected service will be refunded.

This does not affect any additional rights you may have under UK consumer law.

11. Vehicle Breakdown or Unavailability

Although our vehicle is maintained with the intention of providing a reliable wedding service, mechanical faults, accidents and other unexpected events can occur.

If the booked vehicle becomes unavailable before your wedding because of mechanical failure, accident, damage or another event outside our reasonable control, we will make reasonable efforts to:

  1. resolve the problem
  2. provide a suitable alternative vehicle where reasonably possible or
  3. assist in arranging alternative transport.

Where an alternative vehicle is proposed, we will explain the arrangement to you as soon as reasonably practical.

If we are unable to provide the contracted transport service, appropriate refunds will be provided in accordance with your legal rights and the circumstances of the booking.

12. Traffic, Road Closures and Delays

Wedding travel can be affected by circumstances beyond anyone's reasonable control, including:

  • Traffic congestion

  • Road accidents

  • Road closures

  • Police incidents

  • Diversions

  • Severe weather

  • Public events

  • Emergency services activity

We plan journeys with reasonable allowance for foreseeable traffic conditions and will provide the service with reasonable care and skill.

However, we cannot guarantee that circumstances outside our reasonable control will never cause delays.

You should provide us with accurate ceremony and venue timings so that appropriate journey planning can take place.

13. Delays Caused by the Wedding Party

We appreciate that weddings do not always run precisely to schedule and will make reasonable allowances for normal wedding-day delays.

Where a substantial delay caused by the customer or wedding party affects later journeys or commitments, we will make reasonable efforts to accommodate it.

If substantial additional waiting time or additional journeys are requested beyond those included in the original booking, an additional charge may apply. Where reasonably practical, this will be agreed before the additional service is provided.

14. Passenger Numbers and Safety

The maximum number of passengers must not exceed the legal seating capacity of the vehicle.

Every passenger must comply with applicable seatbelt and road safety requirements.

Children must use an appropriate child restraint where one is legally required. Please discuss arrangements involving young children with us before the wedding.

The chauffeur has ultimate responsibility for the safe operation of the vehicle and may refuse to carry a passenger where doing so would be unsafe or unlawful.

15. Passenger Conduct

We want everyone travelling with us to enjoy the occasion.

However, passengers must behave in a manner that does not:

  • Endanger the chauffeur, passengers or other road users

  • Damage the vehicle

  • Distract the chauffeur

  • Interfere with the safe operation of the vehicle

  • Involve unlawful activity

  • Include threatening, abusive or seriously disruptive behaviour

In exceptional circumstances where continuing a journey would be unsafe or unlawful, the chauffeur may stop or refuse to continue the service.

16. Smoking and Vaping

Smoking and vaping are not permitted inside the vehicle at any time.

17. Food and Drink

Please ask us before consuming food or drink inside the vehicle.

Reasonable care must be taken to avoid spills, staining or damage to the vehicle interior.

Any restriction on particular food or drinks will be explained where relevant.

18. Cleaning and Damage

Normal wedding-day use of the vehicle is expected and does not attract any additional charge.

However, where a passenger deliberately or negligently causes significant damage or exceptional soiling, we may seek to recover reasonable cleaning, repair or replacement costs.

Examples could include significant staining, damage to upholstery or fixtures, or cleaning required as a result of sickness.

Any charge will be based on the reasonable cost incurred and we will provide supporting information where appropriate.

19. Personal Belongings

Please check that you have collected all personal belongings when leaving the vehicle.

We will take reasonable care of any item subsequently found in the vehicle and will make reasonable efforts to return it to you.

We cannot accept responsibility for personal possessions that are lost or damaged unless the loss or damage resulted from our negligence.

20. Wedding Photography

We are happy for the Mercedes to feature in your wedding photography and will make reasonable efforts to accommodate photography involving the vehicle where this has been included within your timings.

Please discuss any planned photography locations or extended photography requirements with us before your wedding.

Photography must not create an unsafe situation, obstruct public roads unlawfully or put the vehicle, chauffeur, passengers or members of the public at risk.

21. Photographs Taken by Admired Wedding Cars

We may occasionally ask whether we can take photographs of the vehicle at a wedding for use on our website or social media.

We will respect your privacy and will not knowingly use identifiable photographs of you or your guests for promotional purposes without appropriate permission.

You are under no obligation to agree to promotional photography.

22. Weather

We operate throughout normal British weather conditions.

In exceptional circumstances, severe weather such as flooding, dangerous ice, heavy snow, fallen trees or official travel restrictions may make a journey unsafe or impossible.

The chauffeur will not be required to drive where they reasonably consider conditions to present an unacceptable safety risk.

If severe weather affects your booking, we will work with you to determine the most reasonable available solution.

23. Events Outside Our Reasonable Control

Neither party will be responsible for failing to perform an obligation where performance is prevented by circumstances genuinely outside that party's reasonable control.

Examples may include:

  • Serious accidents

  • Extreme weather

  • Flooding

  • Major road closures

  • Civil emergencies

  • Government restrictions

  • Serious illness or medical emergencies

  • Other exceptional events that could not reasonably have been avoided

This clause does not remove any statutory rights you may have and does not allow us to avoid responsibility where the problem arose because we failed to exercise reasonable care and skill.

24. Our Responsibility to You

We will provide our services with reasonable care and skill and in accordance with the service agreed in your booking confirmation.

Nothing in these terms excludes or restricts liability where it would be unlawful for us to do so, including liability for death or personal injury caused by negligence.

Nothing in these terms limits your statutory rights as a consumer.

25. Website Information

We make reasonable efforts to ensure information and photographs on the Admired Wedding Cars website accurately represent our vehicle and services.

Colours and appearance may vary slightly because of lighting, photography, screen settings or minor changes to presentation and decoration.

Any material feature specifically agreed as part of your booking will form part of the service agreement.

26. Personal Information and Privacy

Personal information provided when making an enquiry or booking will be handled in accordance with our Privacy Policy and applicable UK data protection legislation.

Information will only be used where appropriate for purposes such as:

  • Responding to your enquiry

  • Preparing your quotation

  • Managing your booking

  • Contacting you about your wedding transport

  • Processing payments

  • Providing the contracted service

  • Meeting legal and accounting obligations

Please refer to our Privacy Policy for further information.

27. Complaints

We take the quality of our service seriously.

If you are unhappy with any aspect of your booking or service, please contact Admired Wedding Cars as soon as reasonably possible so that we have an opportunity to investigate and resolve the matter.

Please provide your name, wedding date and details of the issue.

We will consider complaints fairly and respond within a reasonable period.

28. Your Statutory Rights

These Terms & Conditions are intended to set out the arrangements between you and Admired Wedding Cars clearly and fairly.

Nothing in these terms affects rights given to you by law, including your rights under the Consumer Rights Act 2015.

Where there is any conflict between these terms and a legal right that cannot lawfully be excluded or restricted, your statutory rights will apply.

29. Governing Law

These Terms & Conditions and any contract between you and Admired Wedding Cars are governed by the laws of England and Wales.

Any dispute will be dealt with by the courts having jurisdiction under applicable UK consumer law.
